Assistant Manager, Workplace Experience

We are looking for a dynamic, detail-oriented and collaborative team player to support the delivery and continuous improvement of workplace operations, corporate services and employee appreciation activities.
You will play an active role in ensuring that the workplace remains conducive, safe, secure and sustainable, while supporting day-to-day corporate services and workplace operations. The role involves working closely with internal stakeholders, facilities teams and service providers, as well as leveraging digital tools to improve operational efficiency and service delivery.
What You'll Be Doing
A) Workplace Operations
- Support space management and planning, including assessing space requirements, engaging stakeholders, coordinating requirements and supporting workplace moves and changes.
- Support office refurbishment and technology refresh projects related to building security, safety, and sustainability, ensuring projects stay on schedule and stakeholder requirements are accurately captured and implemented in collaboration with the facilities team and service providers.
- Administer access control systems, including access application, card issuance and periodic audits.
- Physical key administration to ensure the building keys are properly accounted for.
- Asset tracking, verification and reporting.
- Plan and execute employee appreciation events.
- Manage facilities reservations and support the effective utilisation of workplace facilities.
- Work closely with the facilities team and relevant service providers to maintain a workplace that is conducive, safe, secure and environmentally sustainable.
- Coordinate with the facilities team and relevant stakeholders to support event logistics and workplace requirements for organisational programmes and activities.
B) Corporate Services Administration
- Administer workplace digital applications, process requests received through these applications, and support enhancements to the digital applications for operational effectiveness where required.
- Manage subscriptions and renewals for corporate services and other workplace-related services (e.g. Tele-communications, travel insurance).
- Oversee pantry supplies management.
- Support verification of invoices for payments for workplace operations.
- Maintain and update content on the workplace web portal or other relevant communication platforms.
- Support the procurement and contract administration activities, including preparation of requirements, coordination with stakeholders, and monitoring of service delivery.
C) General
- Stay updated on industry trends and best practices in workplace experience.
- Identify opportunities to streamline corporate processes and operations through digital and AI tools.
- Engage internal and external stakeholders to ensure seamless service delivery.
Requirements
- Relevant working experience and proven track records in workplace operations, facilities management, corporate services or related areas.
- Experience or interest in digitalisation, process improvement and the implementation of digital solutions.
- Experience in stakeholder and service provider management, with good interpersonal and communication skills.
