Retail Operations executive

About the Role

The Retail Operations Assistant supports the day-to-day operations of Level Up Games across inventory management, stock receiving, order fulfilment, freight coordination, preorders, online sales platforms, and event preparation.

This is a hands-on operational role suited to someone who is organised, dependable, detail-oriented, and comfortable working across multiple systems. You will help ensure that products are received accurately, inventory is kept up to date across our sales channels, orders are fulfilled correctly, and store events are properly prepared and scheduled.

Key Responsibilities

• Receive incoming deliveries from suppliers and distributors.
• Check delivered products against purchase orders, invoices, and supplier documentation.
• Unbox, inspect, sort, and organise incoming stock.
• Enter and update purchase orders (POs), received quantities, and stock information in the company system.
• Report missing, damaged, incorrect, or short-shipped items.
• Maintain accurate inventory records and assist with regular stock counts.
• Organise stock within the storeroom and retail areas.
• Label, price, and prepare products for sale where required.

Multichannel Inventory Management

• Maintain and update product inventory across multiple sales platforms, including Shopify, Shopee, eBay, and other marketplaces used by the company.
• Ensure stock quantities are accurate and consistent across all sales channels.
• Update product availability when stock is received, sold, allocated to preorders, transferred, or adjusted.
• Monitor inventory discrepancies between platforms and physical stock.
• Assist with correcting overselling, duplicate listings, incorrect quantities, and stock allocation issues.
• Coordinate inventory between online sales channels and the physical retail store.
• Support the creation, updating, and maintenance of product listings where required.
• Help ensure product information, pricing, SKUs, and stock status are accurate across platforms.
• Monitor stock levels and flag low-stock or out-of-stock products to the team.

Order Fulfilment & Preorders

• Prepare customer preorders accurately and ensure stock is allocated correctly.
• Sort and prepare products for major releases and preorder collections.
• Pick, pack, check, and prepare online, retail, and business orders for shipment or collection.
• Ensure orders are packed securely and accurately to minimise fulfilment errors.
• Process orders received through Shopify, Shopee, eBay, and other sales channels.
• Ensure fulfilled orders and inventory adjustments are reflected correctly in the relevant systems.

Freight & Logistics

• Arrange local and international freight for outgoing orders when required.
• Coordinate inbound freight and deliveries with suppliers, couriers, and logistics providers.
• Prepare shipping documentation, labels, packing information, and other required paperwork.
• Track shipments and follow up on delays, delivery issues, or missing parcels.
• Coordinate courier pickups and incoming deliveries.
• Assist with resolving freight discrepancies, damaged shipments, and delivery issues.

Events & Store Operations

• Schedule store events, tournaments, weekly play sessions, and other organised activities.
• Maintain and update the store event calendar.
• Prepare event materials, products, prizes, registration information, tables, signage, and other requirements before events.
• Ensure events are set up and ready before participants arrive.
• Assist with event administration, player registration, and event operations where required.
• Assist with restocking shelves and maintaining organised product displays.
• Support the retail team during major product launches, large deliveries, events, and busy trading periods.
• Perform other general retail and operational duties when required.

• Reliable, punctual, and able to follow through on assigned tasks.
• Comfortable working with inventory and order management systems.
• Confident using computers and learning new software and online platforms.
• Able to work across several systems without losing track of stock or order information.
• Comfortable handling physical stock, cartons, and deliveries.
• Able to work systematically and follow operational processes.
• Comfortable communicating with suppliers, couriers, customers, and event participants.
• Able to prioritise multiple tasks during busy periods.
• Able to work independently while supporting the wider team.
• Good communication and problem-solving skills.
• Previous experience with Shopify, Shopee, eBay, ecommerce, retail, logistics, warehousing, fulfilment, or inventory management is an advantage.
• Knowledge of tabletop games, trading card games, miniature games, or organised play is helpful but not essential.

A successful Retail Operations Assistant helps ensure that Level Up Games operates smoothly across both our physical store and online sales channels.

Inventory is accurate across Shopify, Shopee, eBay, and other platforms; incoming stock is received and recorded correctly; preorders are allocated properly; customer orders are packed and dispatched accurately; freight is coordinated effectively; and events are scheduled and prepared with minimal last-minute issues.

The role is an important link between our suppliers, inventory systems, sales platforms, store team, events, and customers.
