ABOUT THE ROLE

The Membership Development Officer is responsible for recruiting, retaining and administering the registration of new and existing members, as well as delivering high-quality administrative and operational support to the Community Development Team. The Officer will be in a key customer facing role and therefore be responsible for providing accurate information, managing expectations, sign-posting future and existing members and managing Singapore Gymnastics’ membership database effectively. This will require and work closely with internal and external stakeholders to support a well-organized, efficient, and high-performing environment.

Reporting Line & Working Hours

The Membership Development Officer reports to the Community Development Manager. Standard working hours are 9:00am to 6:00pm, Monday to Friday. Flexibility is required during peak periods, where evening and weekend work may be necessary. Time Off In Lieu (TOIL) will be provided in accordance with organizational policy.

Key Responsibilities

1. Club Affiliation

· Recruit and retain clubs to affiliate to Singapore Gymnastics, including checking that they are a legally registered entity, have appropriate insurance (public liability and professional indemnity), a named Safeguarding Officer, submit a list club coaches and submit a list of gymnast members or customers.

· Using RevSport, SG’s online membership portal, process and renew club affiliations administer daily interactions related to affiliation, including at least one weekly communication/update with affiliated clubs.

· Maintain and update all club affiliation forms and registration requirements.

· Maintain an up-to-date list of all Full Members, Affiliate Club Members and Associate Club Members.

2. Individual Membership

· Manage and administer the daily operation of SG membership.

· Work collaboratively with the Education Development Officer so that they can actively manage and track all SG Technical Members.

· Using RevSport, SG’s online membership portal, to process new and renewed memberships.

· Maintain and update all membership forms.

· Check that the membership of gymnasts competing in SG events are current and up to date.

· Check that the membership of coaches and judges taking part in SG and international events are current and up to date.

· Prepare membership packs for all new and renewed members.

· Manage all existing and new membership enquiries.

· Arrange, manage and fulfil an annual Club Congress. This includes engaging presenters, marketing, all administrative arrangements and participant feedback.

3. Community Development Team Administration

· In collaboration with the Education Development Officer, manage the -mail address and general enquiries.

· Administer sales and collections of SG stock items and products.

· Provide support to the day-to-day operations of the Community Development Team.

ABOUT YOU

The ideal candidate will have the following characteristics and qualifications:

  • Diploma qualification or higher, preferably in Business Administration, Sports Management, or a related discipline.
  • Excellent written and verbal communication skills in English.
  • Strong organisational and time management skills, with the ability to prioritise multiple tasks and meet deadlines.
  • Highly organised with excellent attention to detail and a passion for administrative work.
  • Tech-savvy and proficient in Microsoft Office 365, particularly Excel. Experience with membership management systems, CRM databases or online platforms will be an advantage.
  • Adaptable and quick to learn new systems, processes and technologies in a dynamic work environment.
  • Comfortable working in a predominantly administrative role involving data entry, record management, reporting and document administration.
  • Customer service-oriented with the ability to build positive relationships with members, clubs and stakeholders.
  • Self-motivated, proactive and able to work independently while contributing effectively as part of a team.
  • Demonstrates initiative, problem-solving skills and a continuous improvement mindset.
  • A “can-do” and proactive attitude with a positive and enthusiastic outlook.
  • Enthusiastic, energetic and keen to develop a career in sports administration.
  • Willing to work occasional evenings and weekends to support competitions, events and organisational activities when required.·

Experience

· At least 3 years experience in administration and customer service.

· Preferably a knowledge of sport in Singapore and gymnastics in particular.
