The primary responsibilities of Technical Executive(s) are:
1.1 Report to NP Representatives on the primary services specified in the Contract.
1.2 Manage daily technical operations, ensure materials and equipment are prepared and in working condition prior to and after the scheduled facility sessions according to curriculum and for assessments, and events held within NP laboratories, studios and facilities.
1.3 Assist lecturers with demonstrations of experiments, equipment, conduct trial run for practical classes and support Final Year Projects as well as other NP projects, outreach activities.
1.4 Work with NP to liaise with vendors on new product training and repair/servicing. This includes assistance in designing, developing, testing, and implementing any changes to laboratories, studios, relevant facilities and its systems that are in accordance with NP’s requirement.
1.5 Perform basic in-house troubleshooting and undertake initial fault resolution efforts in the event of an equipment fault. If the fault cannot be resolved internally, work with NP to coordinate follow-up actions with external vendors for repairs or further servicing. Ensure that issues related to laboratories, studios, facilities, and equipment are promptly addressed and followed through to resolution.
1.6 Escalate and inform the NP Representatives about problems that cannot be resolved within 1 working day from the day when problem was identified.
1.7 Perform regular upkeep of equipment and materials, including preventive maintenance, as well as supporting NP to schedule vendor to conduct such maintenance.
1.8 Provide support services to ensure availability and accessibility of required facilities and systems (e.g. booking of facilities and labs, etc.).
1.9 Maintain, update, and comply with all standards and procedures that are applicable for laboratories, studios, relevant facilities and its operations.
1.10 Accountable for the responsible use of assets, equipment and training environment of the programmes, in accordance with internal and external safety policies and procedures.
1.11 Support the inventory control of laboratories, studios, and relevant facilities by preparing lists of replacement as required to ensure sufficient stock of consumables and assist in carrying out annual stock-take of assets. This includes tracking and updating of licensing and certification requirements.
1.12 Maintain a master inventory/asset records list to track all assets, equipment, and contracts in view of audits and support audits checks whenever required by NP which includes IT hardware, software and maintenance records. Follow-up with action plans that are recommended by auditors to maintain and enhance the security and safety of laboratories, studios, facilities and systems.
1.13 Assist in sourcing vendors and seeking quotations when requested by department, including the preparation of procurement specifications for equipment maintenance.
1.14 Assist NP staff to liaise with vendors on the deliveries of goods and ensure goods and/ or consumables received are in good order and in accordance with procured items and quantity.
1.15 Support NP in work to design, implement and ensure that laboratories, studios and relevant facilities are in line with the Workplace Safety Bizsafe Level 3. This includes prompt follow-up on incident management as necessary, ensuring equipment comply with regulatory bodies, proper licensing and verifying procedures adhere to emergency plans, accident procedures, safe disposal of chemical waste, bio-hazardous materials etc.
1.16 Support Workplace Safety and Health (WSH) responsibilities across relevant operational areas. This includes identifying and reporting hazards, supporting the planning and execution of fire drills, conducting safety audits, and ensuring compliance with NP’s safety guidelines and statutory requirements. Promote a safety-conscious culture, participate in risk assessments, and contribute to the implementation of safe work procedures and emergency preparedness plans.
1.17 Demonstrate capability in operating, maintaining, and troubleshooting technical equipment and instruments based on past project experience and/ or work in a similar lab/facility setting. Evaluate and select appropriate alternatives to contribute to the efficient and effective administration and resource management processes that support lab/facility operations. Tenderers are required to attend a site visit during the tender briefing to understand the actual facilities and equipment which they are required to support.
1.18 Provide assistance to NP in the management of events that showcases NP’s laboratories, studios, relevant facilities, equipment and technologies. These events includes corporate functions, outreach activities (e.g., to Open House & Joint Admission Exercise, Early Admission Exercise, Poly Xperience, RED Camp, and Graduation Showcase), and competitions. Responsibilities may include the set up and operation of equipment for live streaming, webinars, and other online engagement platforms. TEs are also expected to undertake administrative tasks related to events and special projects. Events may occasionally require support on Saturdays. If events are held at external venues, TEs may be required to assist in logistics planning, such as packing, transporting and set up equipment at external venue(s).
1.19 Provide technical assistance for student-led activities by supporting equipment-related tasks such as setting up and operating equipment and materials, dismantling setups after events, and ensuring the proper safekeeping and return of equipment to designated storage areas.
