Hours: Full-time, 5.5 days per week
Reports to: Chief Medical Operating Officer
Role Summary: We are looking for a confident, articulate, and highly capable Senior Clinic Administrator to oversee day-to-day operations across our Singapore facilities. This is a full-time, on-site role for someone who takes pride in precision, leadership, and delivering a seamless, five-star experience for every client.
The ideal candidate is a self-starter who can hold the fort independently when needed, step up without being asked, and collaborate seamlessly as part of a multidisciplinary team. Given our predominantly international clientele, you must be polished, well-spoken, and at ease engaging with multinational guests from diverse cultural backgrounds.

Key Responsibilities
Client Experience & Operations
Serve as the primary point of contact for our international clientele — managing inquiries, feedback, and escalations with poise, cultural sensitivity, and professionalism
Oversee patient flow, appointment scheduling, and front-of-house operations across clinic locations, ensuring every touchpoint reflects our standard of excellence
Coordinate closely with the clinical team to support seamless care delivery
Support the onboarding and coordination of health screening packages and wellness programmes
Coordinate client meals and manage the overall client experience end-to-end
Administration & Compliance
Oversee administrative processes including medical records management and billing
Maintain accurate documentation while safeguarding confidentiality and supporting compliance with data protection and healthcare regulations
Manage medical and non-medical inventory, and liaise with vendors and external partners
Manage pantry and stationery ordering, ensuring clinics are well-stocked at all times
Support reporting and contribute to initiatives that strengthen service quality and reputation
Team & Process Leadership
Run clinic operations independently when required, demonstrating sound judgment and decisiveness without constant oversight
Proactively identify and resolve operational issues before they escalate — we value initiative over instruction
Optimise workflows and implement improvements to enhance efficiency and client experience
Lead, support, and collaborate with the clinic team, fostering a culture of accountability, warmth, and excellence
Take ownership of ad-hoc projects and initiatives as the clinic grows
Requirements
Relevant diploma or degree in healthcare administration, business administration, or a related field
Prior experience in clinic or healthcare facility management strongly preferred
Exceptional spoken and written English — must be articulate, confident, and polished when engaging with multinational clients and senior stakeholders
Strong interpersonal skills with the ability to adapt communication style across diverse cultural backgrounds; experience working with international clientele is a distinct advantage
A proactive self-starter who takes initiative and is comfortable running operations independently as well as leading and working within a team
Strong client-facing and service-focused skills, with a natural ability to create a warm, professional, and five-star environment
Experience with medical records management, confidentiality, and data protection compliance
Understanding of healthcare workflows and medical terminology
Excellent organisational, multitasking, and problem-solving abilities
Comfortable with clinic management software (e.g. SGiMED), scheduling systems (e.g. Google Calendar), and office productivity tools
Demonstrated ability to lead and collaborate within multidisciplinary teams with professionalism, discretion, and empathy
Preferable
Singaporean / Singapore Permanent Resident
Prior experience working with SGiMed or similar clinic management systems
Familiarity with health screening, healthy ageing, geroscience, or lifespan-extension practices in middle-aged, healthy populations
Fluency in Mandarin or other Asian languages (e.g. Bahasa Indonesia), given the diverse linguistic backgrounds of our clientele.
