Reception cum Administrative Assistant
Location: MOE Primary School, Singapore
Contract Period: 1 September 2026 – 31 August 2027
Option to Extend: 1 September 2027 – 31 August 2028 (Subject to the School's discretion)
Position Overview
The Reception cum Administrative Assistant is responsible for providing professional front desk, reception, and administrative support to ensure the smooth daily operations of the school. The role includes managing visitor enquiries, supporting student welfare through sick bay operations, handling administrative tasks, and assisting with general school operations while maintaining a welcoming and efficient reception environment.
Working Hours
- Monday to Friday: 7:00 AM – 4:30 PM (inclusive of a 1-hour lunch break)
- Working hours may be adjusted according to the operational needs of the school.
- No work is required on Saturdays, Sundays, and Gazetted Public Holidays.
Key Responsibilities
Reception & Front Desk Operations
- Manage the school's reception counter and serve as the first point of contact for visitors, parents, students, and staff.
- Answer and direct incoming phone calls professionally and promptly.
- Attend to enquiries and provide accurate information or direct visitors to the appropriate personnel.
- Register and assist visitors in accordance with school security procedures.
Administrative Support
- Perform filing, document management, and mailing of letters.
- Assist with general administrative duties including word processing, data entry, photocopying, and document preparation.
- Maintain accurate records and ensure proper filing of school documents.
- Perform other administrative duties assigned by the school.
Delivery & Logistics Coordination
- Receive deliveries and ensure all incoming items are properly recorded.
- Distribute deliveries promptly to the relevant departments or staff.
- Assist in packing activities and relocation preparations when required.
Student Support & Sick Bay Operations
- Support the daily operations of the school's sick bay.
- Provide basic first aid to students when necessary.
- Monitor students resting in the sick bay until collected or discharged.
- Handle procedures for students leaving school early.
- Ensure the sick bay remains clean, organised, and adequately stocked with essential supplies.
Lost & Found Management
- Maintain and manage the school's lost and found system.
- Record, organise, and facilitate the return of lost items to students and staff.
Housekeeping & Operational Support
- Maintain cleanliness and tidiness of the reception counter and sick bay.
- Ensure reception and waiting areas remain presentable at all times.
- Assist with operational duties and school events whenever required.
- Undertake any other duties assigned by the School Management.
Requirements
Minimum Qualifications
- GCE "N" Level or equivalent qualification.
- At least 2 years of relevant experience in reception, customer service, or general administrative work.
- Proficient in written and spoken English.
- Microsoft Word

- Basic data entry
Preferred Qualifications & Skills
- Previous experience working in a school environment, preferably a primary school.
- Knowledge of basic first aid will be an added advantage.
- Excellent communication and interpersonal skills.

- Able to work independently with minimal supervision.
- Responsible, reliable, and able to maintain confidentiality.
