We specialise in the conservative management of foot, ankle, and lower limb conditions, treating a wide range of patients locally and internationally. Our head office is located at Lower Delta Road.
The Opportunity
This role goes beyond traditional administrative support and is ideal for a seasoned Executive Assistant who thrives in a high-trust, high-impact environment. You will work closely with the CEO on strategic, operational, and confidential matters, supporting business execution across the organisation.
The role includes accompanying the CEO on overseas business trips, sometimes on short notice, and therefore requires flexibility, maturity, and comfort working closely with senior leadership in a professional setting.
Key Responsibilities
Strategic & Executive Support
Serve as the primary executive support to the CEO, assisting in the planning, execution, and monitoring of key business initiatives.
Anticipate priorities, identify potential risks, and proactively drive follow-through on high-impact projects.
Prepare executive presentations, reports, briefing materials, and correspondence to support strategic decision-making.
Business Development
Represent the organisation in building and maintaining professional relationships with referring doctors, healthcare providers, and other strategic referral partners.
Schedule and attend meetings with doctors, clinics, hospitals, and other healthcare stakeholders to promote the organisation's services and strengthen referral networks.
Identify new business opportunities and develop strategies to expand the organisation's referral base and market presence.
Conduct market research and monitor industry trends, competitor activities, and potential growth opportunities.
Prepare business development materials, presentations, and follow-up communications to support client engagement and business growth.
Maintain accurate records of business development activities and provide regular updates on opportunities, outcomes, and market insights.
Talent Acquisition
Support end-to-end recruitment activities for local and international hiring, including sourcing, screening, interview coordination, and offer administration.
Build and maintain talent pipelines through networking, career fairs, overseas recruitment activities, and relationships with educational institutions.
Coordinate with recruitment agencies, universities, and professional organisations to support hiring objectives.
Assist in employer branding initiatives to attract and engage high-quality talent.
Stakeholder & Leadership Coordination
Act as the primary liaison between the CEO, senior leadership, internal teams, and external stakeholders.
Coordinate executive meetings, document key decisions, monitor action items, and ensure timely follow-up.
Handle highly confidential information with professionalism, integrity, and discretion.
Business Operations & Governance
Track cross-functional projects to ensure alignment with organisational objectives, timelines, and deliverables.
Review contracts, policies, and business documents for completeness before executive review.
Support governance, compliance, and continuous improvement initiatives across the organisation.
Calendar, Travel & Executive Administration
Manage the CEO's complex calendar across multiple stakeholders and time zones.
Coordinate domestic and international travel arrangements, itineraries, and executive logistics.
Optimise the CEO's schedule to maximise productivity and focus on strategic priorities.
Overseas Travel & Executive Support
Accompany the CEO on overseas business development and recruitment trips.
Provide on-the-ground coordination for meetings, schedules, documentation, and logistical requirements.
Executive Social Media & Personal Branding
Manage the CEO's professional presence across platforms such as LinkedIn and Instagram.
Develop, schedule, and publish content aligned with the CEO's thought leadership and the organisation's strategic objectives.
Monitor engagement, identify opportunities to grow reach, and recommend strategies to strengthen the CEO's professional brand.
Ad-hoc & Special Projects
Support confidential, high-priority, and time-sensitive assignments as directed by the CEO.
Drive special projects and cross-functional initiatives that contribute to organisational growth and operational excellence.
Requirements
This role is open to Singapore Citizens only.
Bachelor’s Degree in Business Administration / Management, Marketing, Mass Communication, Finance, or a related field
Minimum 2–5 years of experience supporting C-suite or senior leadership
Prior experience in a senior Executive Assistant, Chief of Staff–like, or strategy support role is highly preferred
Comfortable with frequent overseas travel and working closely with a senior male executive in a professional capacity
Experience managing executive or corporate social media accounts is an advantage
Strong business judgment, organisational skills, and attention to detail
High level of discretion, maturity, and professionalism
Excellent written and verbal communication skills
Proficient in Microsoft Office / Google Workspace; strong presentation skills
