HR Administrator (General)

Role Summary
The HR Administrator provides day-to-day HR administrative and operational support to the Singapore HR team, with exposure to selected regional HR activities across Singapore and Malaysia. This role focuses on training administration, workforce-related administration, invoice coordination, HR documentation, reporting support, and maintaining accurate HR records and systems.
Key Responsibilities
Training Administration
- Coordinate employee training registrations and course bookings.
- Maintain training records, certification records, and training trackers.
- Monitor mandatory training requirements and certification expiry dates.
- Liaise with training providers and internal stakeholders on training arrangements.
Workforce Administration
- Administer workers' home leave applications and records.
- Maintain employee attendance and timesheet records.
- Support employee administration throughout the employment lifecycle.
- Maintain accurate employee records and documentation.
Invoice & Vendor Administration
- Verify, track, and process HR-related invoices.
- Maintain invoice records and supporting documentation.
- Coordinate with vendors and internal departments to ensure timely processing of payments.
HR Systems & Reporting
- Update and maintain employee information in HR systems.
- Support HR data collation and report preparation.
- Ensure HR records, trackers, and databases are accurate and up-to-date.
- Assist with HR audits and documentation reviews.
General HR Operations Support
- Support day-to-day HR operational activities and projects as assigned.
- Assist with HR correspondence, filing, and record management.
- Provide backup support to the HR team during peak periods or absences.
- Participate in HR process improvement and system enhancement initiatives.
Requirements
Qualifications
- Diploma or Degree in Human Resource Management, Business Administration, or related discipline.
Experience
- 1 to 3 years of HR administration or HR operations experience preferred.
- Fresh graduates with relevant internship experience may be considered.
Skills & Competencies
- Strong administrative and organizational skills.
- Good attention to detail and accuracy.
- Proficient in Microsoft Excel, Word, and Outlook.
- Experience using HR systems (e.g. JustLogin) is an advantage.
- Able to manage multiple tasks and deadlines effectively.
- Strong communication and coordination skills.
- Comfortable working in a fast-paced environment supporting multiple stakeholders.
Advantageous (but not required)
- Prior HR or office administration experience
- Exposure to HR systems or compliance documentation
