Legal Secretary

About the Role
We are looking for an experienced Legal Secretary to provide secretarial and administrative support to our lawyers. This is a non-contentious support role, covering practice areas including conveyancing, wills and probate, corporate, and corporate secretarial work. Salary will be commensurate with experience.
What You Will Do
- Prepare and format legal documents, correspondence, and other materials to a high standard, including accurate typing and formatting of complex documents
- Provide day-to-day secretarial and administrative support to the lawyers in the Firm
- Open new client files, conduct conflict checks, complete KYC checks, and maintain proper client due diligence records in accordance with the Firm’s procedures
- Manage and maintain lawyers’ diaries, track deadlines, and coordinate appointments and meetings
- Handle data entry, filing, and maintenance of both physical and electronic records
- Prepare bills and assist with monitoring of payments
- Manage incoming and outgoing correspondence
- Assist with e-filing and other practice-area administrative tasks, including eLitigation, SLA lodgements, ACRA filings, or corporate secretarial filings, depending on the department assigned
- Assist with any other ad hoc administrative and secretarial duties as required by the lawyers
What We Are Looking For
- Minimum 3 years’ experience as a legal secretary or ina similar secretarial role in a Singapore law firm
- Hands-on experience in at least one of the following practice areas: eLitigation, conveyancing, or corporate and corporate secretarial work
- Excellent typing speed and accuracy, with strong document formatting skills; proficiency in Microsoft 365 (including Word, Excel, Outlook, Teams, and SharePoint) is essential
- Able to work independently with minimal supervision and manage multiple tasks and deadlines simultaneously
- Meticulous, well-organised, and able to work calmly andaccurately under time pressure; must be prepared to work beyond normal office hours when the exigencies of work require
- Good interpersonal skills and a professional manner when dealing with clients and other parties
- Good command of written and spoken English; the ability to communicate orally in Mandarin is an advantage for liaising with Mandarin-speaking clients
- Minimum GCE ‘A’ Level or Diploma, or equivalent
