Responsibilities

  • Manage daily administrative and office operations to ensure smooth workflow
  • Maintain office documents, filing systems, records, and administrative databases
  • Prepare and process internal documents, reports, and correspondence
  • Coordinate office support and handle internal administrative requests
  • Monitor office supplies and coordinate procurement and replenishment
  • Prepare and manage employee work schedules and attendance tracking
  • Coordinate work-from-home arrangements and employee scheduling logistics
  • Arrange business travel including flights, transportation, and itineraries
  • Coordinate accommodation bookings for visitors and business guests
  • Support meeting logistics, visitor coordination, and company events
  • Process monthly expense claims and maintain accurate records
  • Track invoices and support payment-related administrative tasks
  • Liaise with HR on administrative matters and employee documentation
  • Support monthly HR coordination and internal communication
  • Handle ad-hoc administrative duties as assigned

Requirements

  • Minimum 1–2 years of experience in a dministrative, office management, or secretarial roles
  • Experience in travel arrangement, scheduling, and expense processing
  • Familiarity with office administration procedures and documentation management
  • Proficiency in Microsoft Word and Excel
  • Experience working in a Japanese or multinational company environment is an advantage
