Job Scope

As an Operations Executive, your role is to support the planning, coordination and execution of the company’s projects, events and operational activities. You will work closely with the Project Director and internal teams to ensure smooth day-to-day operations and successful project delivery.

Duties and Responsibilities

Operations & Project Coordination

  • Collaborate and connect with internal and external stakeholders such as vendors, freelancers and other agencies
  • Communicate effectively with clients, suppliers and team members
  • Assist in brainstorming and implementing event plans and operational processes
  • Coordinate event project deliverables and operational requirements
  • Coordinate venues, suppliers, logistics and staffing arrangements
  • Support documentation of project details and event reports
  • Assist in monitoring project scope, timelines and deliverables
  • Support budget tracking and operational costing
  • Prepare presentation decks, quotations and operational documents
  • Ensure projects and operational tasks are completed on time and at the required quality standards
  • Maintain proper filing and documentation for projects and company operations
  • Provide on-site support during events and activations when required
  • Liaise with suppliers and ensure timely follow-up on operational matters
  • Assist in procurement and inventory coordination where required
  • Perform administrative and operational support duties assigned by management

Skills You Will Need To Have

  • Microsoft Office (Word, PowerPoint & Excel)
  • Excellent organisational skills and attention to detail
  • Good coordination and time-management skills
  • Strong communication and interpersonal skills
  • Ability to multitask and work under pressure
  • Problem-solving skills (individually or in a team)
  • Ability to manage operational timelines and priorities
  • Flexible and adaptable approach
  • Being abreast of the latest event tools and trends; be open to new ideas to drive innovation
  • Minimum 1 to 3 years of relevant experience in operations, events management or related industries preferred

Additional Requirements

  • Availability to travel (if needed)
  • Class 3 License (Preferred)
  • Work on weekends if project requires (*off-in-lieu will be reimbursed)
